VISITING AS A GROUP

Advance booking is essential for all group visits, even for self-conducted visits.

To avoid disappointment we recommend booking as far ahead as you can.

When to book

Our taught gallery sessions book quickly and we advise booking at least three months ahead.

We need a minimum of 28 days to organise a taught session. 

Self guided visits must be booked no later than two weeks before the date of your visit.

How to book

Contact us using our online forms for Primary and Secondary enquries. (Please note this is not a booking.)

We will reply to all enquiries within five working days.

Once we have found a suitable date we will make a provisional booking and send you a booking form to complete.

Your booking will be confirmed once we receive your completed booking form. We will send a confirmation email and an invoice will be sent from the University within 30 days of your trip.

IMPORTANT: If you cancel more than 28 days before the date of your visit you will receive a full refund. If you cancel less than 28 days before the date of your visit you will be invoiced for the full amount.

Cost of sessions

Oxford University Museums charge for taught education sessions. The income realised helps sustain the Museums’ award winning schools’ service.

Some groups may be exempt from charges. Currently this applies to State funded Special Schools and UK schools taking part in University access and outreach programmes.

Sometimes there may be availability closer to the date, but we usually require a minimum of 2 months to organise a tour or talk and 3 months for a bespoke study day. 

Self guided visits must be booked no later than two weeks before the date of your visit.

We will reply to all enquiries within five working days.

We will send you a booking form to complete before we can make a booking on your behalf. We require a minimum of one month’s notice from receiving completed paperwork to be able to organise tours for adult groups

Your booking will be confirmed when we receive your completed booking form. At this point we will send a confirmation email. Nearer to the date of your tour, usually at the beginning of the preceding month, we will send a confirmation letter with the name of the Gallery Lecturer/s allocated to your group.

An invoice will be sent from the University within 7 days of your trip and is to be paid within 30 days of the date of the invoice. Payment methods will be detailed on the invoice. Please do not bring payment on the day.

Please note that we reserve the right to charge the full amount for your booking if you amend your group numbers or cancel less than 14 days before your visit or fail to turn up on the day.

When to book

We advise booking well in advance as slots book up very quickly. Bookings cannot be taken less than 2 weeks ahead of the proposed visit.

During UK school term time we can only take bookings for language and international groups after 2.30pm. At weekends and during UK school holidays we can be more flexible with timings.

We receive a high volume of phone calls, so you may need to leave a message and we will reply.

We will reply to your enquiry and confirm a booking within 5 working days.

We will send a letter to confirm your booking. Please bring this with you to check in with front of house staff at the Beaumont Street entrance on arrival.

 

Information and documents to help you plan your visit

If you are bringing students under the age of 18 we ask for a minumum of 1 adults to 10 students. For younger children we suggest a ratio of 1 to 6. Large groups are asked to divide down in to groups of 10 to move around the Museum. All students must be accompanied and actively supervised by responsible and easily identifiable group leaders.

There is still no charge for self-guided visits but a donation of £3 per student is encouraged via a cheque made payable to the Ashmolean Museum.
